What We Collect.
What We Don’t.
Plain-English privacy policy for spikebins.ca. PIPEDA-compliant. Last reviewed May 14, 2026.
What We Collect.
When you place an order, request a quote, contact customer service, or apply to the Crew Portal, we collect the information you give us. That generally includes:
- Name, email address, phone number.
- Shipping and service addresses.
- Order history and product preferences.
- For Crew Portal applicants: employer, truck or unit number, and a photo of your CDL or Ontario AZ license.
- For payments: payment is processed by Stripe and Square — we never store full card numbers. We retain the last four digits, card brand, and a Stripe customer ID for refunds and rebills.
We also automatically collect technical data when you visit the site: IP address, browser type, pages viewed, and time on each page. This is standard web log information used for site security and analytics.
How We Use It.
Order fulfillment, customer service, verification for the Crew Portal, fraud prevention, legal compliance, and improving the site. We do not use your information for cross-context behavioural advertising. We do not sell it. We do not rent it.
License photos submitted to the Crew Portal are used solely to verify the applicant’s identity and license class. After verification (typically within 24 hours), the photo is deleted from active systems within 30 days. A retention copy is kept in encrypted backup for an additional 90 days for dispute resolution.
Who We Share With.
We share data only with vendors who help us deliver service:
- Stripe and Square — payment processing.
- Canada Post and UPS — apparel shipment.
- Walking Floor and roll-off carriers — bin dispatch (limited to address and bin type).
- Disposal facilities — weight slips and material classification (limited to order number).
- QuickBooks — bookkeeping for invoice records.
We never share Crew Portal license photos with anyone outside of internal verification. We never share customer lists with third-party marketers.
We will disclose information if compelled by a valid legal process (subpoena, court order, regulatory request). We’ll fight to narrow the scope and notify you unless legally prohibited.
Your Rights (PIPEDA).
Under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Withdraw consent (subject to legal and contractual restrictions).
- Request deletion of your account and associated data.
- File a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca.
To exercise any of these rights, email 905wood.sales@gmail.com with “PRIVACY” in the subject. We respond inside 30 days.
How Long We Keep It.
| Data Type | Retention |
|---|---|
| Account & order history | 7 years (CRA-aligned) |
| Crew Portal license photos | 30 days active + 90 days encrypted backup |
| Contact form submissions | 2 years |
| Marketing subscribers | Until you unsubscribe |
| Site analytics logs | 13 months |
Security.
The site runs on encrypted connections (HTTPS). Customer accounts are password-protected and we encourage strong unique passwords. License photos are stored encrypted at rest. Internal access is limited to staff who need it to do their job. We are not perfect — no one is — but we treat your information the way we’d want ours treated.
Cookies.
We use essential cookies (cart, login, CSRF protection) and a small set of first-party analytics cookies. We do not use third-party advertising or retargeting cookies. You can disable cookies in your browser — see /enable-cookies — but the cart and checkout will not work without them.
